Platform · Client portal

The page that replaces 10 hours of emails a week.

Every client gets a private dashboard. Case status. Document checklist. Milestone timeline. Secure upload. They see where their case is without emailing you. You see which clients need attention without checking a spreadsheet.

The portal isn’t an add-on. It’s the core of how the platform changes your practice. Everything else — automated emails, document expiry alerts, review requests — connects to it.

Sarah logs in. She sees her case is at “Gathering documents.” One document is approved. One needs her action. One is under review. One is pending. She uploads the marriage certificate. No email necessary. She checks back on Thursday — it’s been reviewed and approved.

Your view

What you see as the admin.

Your admin dashboard shows every case in your pipeline. Status-coloured left borders let you scan 40 cases in seconds. Documents awaiting review are flagged. Expiring documents are highlighted. You see which clients need attention without opening a single email.

Pipeline view

All cases sorted by last activity. Each row shows client name, reference code, service type, status, and last update date. One click opens the full case.

Document review queue

Every uploaded document that hasn’t been reviewed yet, across all clients. Approve or reject with a reason. The client sees the result in their portal immediately.

Expiry alerts

Documents expiring within 30, 60, or 90 days. Grouped by urgency. Automatic email reminders go to clients before you even check the list.

Audit trail

Every action logged. Who uploaded what, who reviewed what, when. Filterable by actor, action type, date. Available for export.

Security

Your clients’ passport scans are not in a shared Google Drive.

Documents stored in encrypted, per-client isolated storage. Not a shared folder. Not a consumer cloud drive.

Every document access generates a signed URL with a 5-minute expiry. No permanent links. Every view is logged with timestamp, IP, and user.

Client login via email magic link or password with optional TOTP. Admin login requires mandatory two-factor authentication.

All data encrypted at rest (AES-256) and in transit (TLS). Per-tenant encryption key derivation — a breach of one tenant’s key doesn’t expose another’s.

Document types restricted to PDF, JPEG, PNG, WebP, TIFF. 10MB max. MIME type validated server-side.

The impact

What changes operationally.

Status emails

Clio’s data shows lawyers bill only 37% of their working hours. A significant portion of the remaining 63% is communication that a portal automates. Status-check emails drop because the information is already visible.

Clio Legal Trends Report, 2024. 37% utilization rate across 90,000+ legal professionals.

Reviews

Communication quality is the strongest predictor of client satisfaction — ahead of outcome. Clients who feel informed leave positive reviews. The portal moves your clients into that category.

Clio Legal Trends Report, 2019-2023. Satisfaction correlates more with communication than outcome.

Dispute defence

Every portal login is a timestamped record. Document uploads, status views, message reads — all logged. If a client disputes a payment claiming “nothing happened,” the portal activity log shows otherwise.
